This policy explains what personal information we collect when you use our websites, contact us, ask for a quote or have roofing work done, how we use it, and the choices you have. If you have a question, email asapflatroofing@icloud.com or call 07348 276884.

1.Who we are

ASAP Flat Roofing Specialist (we, us) is the controller of your personal information under the UK GDPR and the Data Protection Act 2018. We are a flat roofing business based in Sydenham, London SE26 4BS.

2.What we collect and why

Quote and enquiry form. Your name, phone number, email (optional), postcode, whether you need a repair, a replacement or are not sure, a description of what is happening with the roof (optional) and your best time to call (optional). We use this to contact you, assess your roof and prepare a quote. Our legal basis is taking steps at your request before a contract, and our legitimate interest in responding to enquiries.

Calls, texts, emails and WhatsApp. Your phone number, the details you tell us and the time of contact. We use this in the same way, and on the same basis, as the enquiry form.

Quotes, jobs and guarantees. Your name, property address, contact details, photos of the roof and property, quote and invoice details, your acceptance, site notes such as access, key safe, parking and pets, guarantee certificate details, and any correspondence or complaint. We use this to do the work, invoice you and honour your guarantee. Our legal bases are contract, legal obligation (tax, accounting and health and safety records) and our legitimate interest in keeping records and dealing with claims.

Invoices and payments. We do not take payments through this website. When you pay an invoice, we keep a record of your name, the invoice, the amount and the payment for our accounts. Our legal bases are contract and legal obligation.

Reviews. If you leave a public Google review, your name and review are already public. We may show the review on our websites under the name you used on Google, without your address. Our legal basis is our legitimate interest in showing real customer feedback. You can ask us to remove it.

Photos of our work. Before and after photos may show your roof. We do not show your name, full address or any image of you without asking first.

Website and device data. Your IP address, browser and device type, the pages you visit, how you reached us (for example, which advert) and your approximate location. This comes from cookies and similar technologies, explained in section 7. We rely on your consent for non-essential cookies and on our legitimate interest for the security and hosting logs we need to run the sites.

Please do not send us bank or card details by email or message, and please do not include sensitive information, such as health details, in the form.

3.How we use your information

We use your details to respond to your enquiry, assess your roof, quote, carry out the work, take payment, keep records, comply with the law, handle complaints, prevent fraud and misuse, and measure whether our adverts and website are working.

We do not sell your personal information. We do not add you to a mailing list, and we do not send marketing emails or texts unless you ask us to or agree. If that changes, we will ask you first.

4.Who we share it with

  • Our roofers and anyone working with us on your job, who only see what they need.
  • Companies that help us run the business, acting on our instructions: website hosting (Vercel), database hosting (Neon), email delivery (Resend), email and phone services (Apple iCloud mail and our phone provider), Google (embedded maps, and advert and website measurement), accountants and bookkeepers, insurers and professional advisers.
  • Authorities, where the law requires it or to protect our legal rights, and a buyer if we ever sell the business.

5.Transfers outside the UK

Some of these companies, such as Vercel, Google and Apple, handle data outside the UK, including in the United States. Where that happens, we make sure a safeguard is in place, such as UK adequacy regulations (including the UK-US data bridge for certified companies) or approved contract terms (the ICO’s International Data Transfer Agreement or the UK Addendum).

6.How long we keep it

  • Enquiries that do not become a job: 12 months, then we delete them.
  • Customer and job records, quotes and invoices: at least 6 years after the job ends, for tax records and the time limit for contract claims.
  • Guarantee records: for the length of the guarantee, up to 25 years from completion, so we can honour it. We then delete them.
  • Complaints: 6 years after they are resolved.
  • Website and advert measurement data: as set by the provider, usually up to 14 months.

When we no longer need information, we delete or anonymise it.

7.Cookies and similar technologies

Cookies are small files a website places on your device. We use these types:

  • Essential. Needed for the site to load securely, to take payments and to remember your cookie choice. These do not need consent.
  • Advertising and measurement. Google Ads conversion tracking tells us whether an advert led to an enquiry or call. Only with your consent.
  • Third-party content. An embedded Google Map may set cookies when it loads, so we only load it with your consent.

We also use Vercel Web Analytics to count page visits. It does not use cookies or identify you.

You can change or withdraw your choice through the cookie settings link in our footer at any time, and you can block or delete cookies in your browser. Blocking some cookies does not stop you calling us or paying us.

8.Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that is wrong or incomplete
  • ask us to delete your information, where we have no good reason to keep it
  • ask us to restrict how we use it
  • ask for your information in a portable format, where it applies
  • object to us using it for our legitimate interests
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email asapflatroofing@icloud.com. We normally reply within one month and do not charge. We may need to check who you are first.

If you are unhappy with how we handle your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

9.Keeping your information safe

We limit who can see your information, use secure hosted systems and protect our devices and accounts. No system is completely secure, so tell us straight away if you have a concern. If there is a breach that puts your rights at risk, we will tell you and the ICO as the law requires.

10.Children

Our services are for property owners and occupiers aged 18 and over. We do not knowingly collect information about children.

12.Changes to this policy

We may update this policy. The latest version is always on this page, with the date at the top, and we will make any important change clear.
